# Invoice Furnishing Facility: How to Prepare Eligible Invoice Details Prepare IFF by selecting eligible registered-recipient documents for the first or second month of a QRMP quarter, validating their details and tracking what has actually been furnished. The Invoice Furnishing Facility is optional. It is not a separate tax payment, and it does not replace the quarterly GSTR-1. CBIC’s scheme guidance limits the outward-supply details furnished through IFF to ₹50 lakh in each of those months and describes the normal furnishing window ending on the 13th of the following month. Check the applicable period’s instructions and any notified change before relying on a calendar date. ## Confirm that the GSTIN is using QRMP Consider an illustrative Kolhapur machine-parts supplier whose registration has opted for QRMP. It issues twelve registered-customer invoices in the quarter’s first month. Some customers request early document visibility for their credit review. The supplier can consider IFF for eligible records rather than waiting to furnish all details through the quarterly statement. First confirm the GSTIN’s selected filing frequency and relevant month. A taxpayer following ordinary monthly GSTR-1 filing should not treat IFF as an additional duplicate route for the same documents. Check earlier filing status and the facility available for that period. A saved draft, submitted information and a completed furnishing action may have different consequences. Preserve the actual status and acknowledgement rather than assuming that data entry completed the process. ## Select eligible documents deliberately IFF supports specified B2B invoice and credit or debit note details for registered recipients under its applicable tables. It is not a place to upload all B2C sales, exports and miscellaneous quarterly summaries indiscriminately. Use the current facility’s eligible categories and document rules. For the Kolhapur supplier, assume eight selected invoices have an illustrative total value of ₹18,00,000 and fit the applicable eligibility and limit. Keep a selection list showing document number, date, recipient GSTIN, taxable value, tax heads and reason for furnishing this month. Do not split or alter invoice identities merely to fit a limit or customer request. If the eligible population exceeds the available limit, assess the permitted reporting choices and preserve complete quarterly coverage. The unfurnished records still need the appropriate later reporting. ## Validate identity and tax details Check each invoice against the final issued document. GSTIN errors can direct information to the wrong registration, including a customer’s different branch. Document numbers should preserve meaningful prefixes and punctuation allowed by the system; careless spreadsheet conversion can remove leading zeros. | IFF data item | Preparation check | |---|---| | Supplier GSTIN and month | Correct QRMP registration and M1 or M2 | | Recipient GSTIN | Correct legal registration shown on the document | | Document number and date | Exact source identity and valid period | | Taxable value and tax | Rate-wise values and correct tax heads | | Note type | Credit or debit effect and relevant original history | | Furnishing status | Evidence of completion, not merely a saved row | Where e-invoicing applies, reconcile the source and auto-populated data without uploading the same invoice twice. E-invoice generation and return furnishing are connected processes but should each be checked for their relevant status. ## Review notes and amendments with their history A credit note may relate to an earlier supply while being issued in the current period. Preserve its own number and date, reason and internal link to the original transaction. The applicable form determines how it is reported, while the law determines whether it validly changes tax. Do not treat a commercial discount as a tax credit note automatically. Likewise, an amendment and a new note can have overlapping effects if the same error is corrected twice. Review the combined result before furnishing. If an earlier IFF record needs correction, use the route available for that record and period under the current process. Do not assume an ordinary same-period GSTR-1A rule can be applied to every saved or previously furnished item without checking its scope. ## Prevent duplication at quarter end CBIC’s QRMP guidance states that invoice details furnished through IFF are not required to be furnished again in quarterly GSTR-1. The quarter’s outward record is understood through the relevant IFF details and the quarterly statement together. Suppose the supplier furnished eight of twelve M1 invoices through IFF and later furnishes another selected set in M2. Its quarter-end reconciliation should identify those documents explicitly and ensure that the remaining records reach the proper quarterly tables. It should not re-upload all invoices from a raw three-month sales export without a status check. Use a field such as “furnished through IFF” with month and acknowledgement reference. Reconcile document counts, taxable values and tax by head. A clean total can still hide one invoice duplicated and another omitted for the same value. Retain a list of eligible documents deliberately left out of IFF, with their intended quarterly reporting status. This prevents an early customer-focused selection from being mistaken for the whole month’s sales. At quarter end, compare the full register with both furnished and unfurnished lists. Every valid document should have one clear reporting outcome, while documents already furnished should retain their original evidence. ## Keep payment and recipient credit separate Furnishing an invoice through IFF does not itself discharge the supplier’s monthly payment obligation. Maintain the QRMP payment calculation separately and reconcile the eventual quarterly GSTR-3B. It also does not guarantee the buyer can claim the entire displayed tax. Source filing, IMS handling, statement timing and substantive credit conditions remain relevant. When communicating with a customer, provide factual furnishing information instead of promising eligibility on its behalf. IFF works best as a controlled early-reporting channel. Confirm eligibility, validate the selected documents, complete furnishing within the applicable window and carry their status into the quarter-end reconciliation. That gives registered customers clearer information while protecting the supplier from duplicate or missing outward reporting. ## Sources and references - [CBIC Circular 143/13/2020-GST: Quarterly Return Monthly Payment scheme](https://cbic-gst.gov.in/pdf/Circular_Refund_143_11_2020.pdf) - [GSTN: GSTR-1 and GSTR-1A FAQs](https://tutorial.gst.gov.in/userguide/returns/GSTR_1.htm) - [GSTN: Creation and submission of GSTR-1](https://tutorial.gst.gov.in/userguide/returns/Creation_of_Outward_Supplies_Return_in_GSTR-1.htm)
