Link bookkeeping entries to evidence by assigning each source document a stable internal reference and recording that reference in the entry or a connected index. Keep the supplier’s invoice number, bank reference and accounting voucher number separately. They identify different things and cannot always replace one another.

The system must handle more than a simple one-file-to-one-entry relationship. One invoice can have several payments, one payment can settle several invoices and one journal can require several supporting schedules. A reference index should make those relationships visible without duplicating the transaction.

Distinguish the different identifiers

A supplier invoice number comes from the supplier. An internal document reference comes from your intake process. A voucher number identifies the accounting record, while a bank reference identifies a payment or receipt movement.

For an illustrative Vadodara engineering supplier, invoice RT-1847 is registered as DOC-02681, posted under purchase voucher PV-0086 and partly paid through bank transaction TX-7721. Keeping all four fields allows a reviewer to move between evidence, books and payment.

Do not rename the supplier’s number into your preferred sequence on the invoice itself. Preserve the original and use a separate internal field. This supports duplicate checks and communication with the counterparty.

Choose a stable internal format

Use a simple sequence with enough context to avoid collision, such as DOC-2026-02681. Define whether the sequence covers the whole business, a location or a document class. If several people assign references, use a controlled register or system rather than guessing the next number independently.

The reference should remain unchanged when an entry is posted, queried or paid. Workflow status belongs in its own field. A number that changes at each stage weakens links and encourages duplicate records.

Keep dates, amounts and supplier names in the index as searchable fields. Embedding every attribute in the reference makes it long and can force renumbering when a detail is corrected.

Register evidence before it scatters

At intake, record reference, document type, date, counterparty, external number, amount, source owner and file location. Mark whether the record is complete, queried or ready for entry. A received document does not automatically establish the correct accounting treatment.

ICAI’s journal material connects source evidence with accounting entries. Your reference system operationalises that link: an entry should have retrievable support, while received evidence should have a clear processing status.

If the same bill arrives by email after a photograph was submitted, search the index first. Attach the additional copy to the existing reference when it is the same underlying document. Do not create a second expense merely because another file exists.

Record one-to-many relationships explicitly

Suppose a ₹59,000 supplier bill is paid ₹20,000 initially and ₹39,000 later. DOC-02681 remains the invoice reference. The index links both payment records and shows the balance clearing to zero, assuming no other adjustments.

RecordReferenceRelationship
Supplier invoiceDOC-02681Underlying obligation
Purchase entryPV-0086Records the invoice
First paymentPAY-0314Settles ₹20,000
Second paymentPAY-0349Settles ₹39,000

Conversely, one ₹80,000 transfer might settle four invoices. Link the payment to an allocation schedule listing the invoice references and amounts. The schedule must total ₹80,000 and identify any advance or deduction separately.

Support entries without external invoices

Depreciation, accruals, prepayments and corrections may require internal workings rather than a supplier bill. Assign a reference to the calculation, period, evidence and approval supporting the journal.

For example, a ₹6,000 monthly insurance adjustment should link to the policy, payment record and allocation schedule. The journal narration alone should not be the only explanation of how the amount was calculated.

A missing external receipt is a different exception. Record the available corroboration and outstanding request under a reference, but do not manufacture a supplier document or imply that an internal number cures missing evidence.

Handle corrections without losing history

If an amount or classification is corrected, retain the original entry identity and link the correction according to the system’s approved process. Explain the reason and review. Do not delete a reference simply because the first treatment was wrong.

If a supplier replaces an incorrect invoice, retain both versions with a clear relationship and status. Determine the correct accounting and tax treatment separately. A revised file should not create an unexplained second liability.

References must also survive file moves. Test links after folder changes and keep a mapping if older records are renamed. A valid-looking reference that opens no document offers little support.

Test the system in both directions

Select an entry and retrieve its evidence, then select a source document and identify its entry or current query status. This two-way test detects both unsupported postings and documents that were received but never processed.

Review gaps and duplicate references, but do not assume every unused sequence number represents a missing transaction. Record cancelled or reserved numbers with reasons so a reviewer can distinguish them from unexplained gaps.

Test partial payments and combined payments during setup, not only ordinary single-invoice entries. These cases reveal whether the reference design records actual relationships or merely assigns numbers that cannot explain how balances were settled.

Keep the register usable

Assign an owner for reference creation, changes and periodic checks. Limit unnecessary editing of identifiers and provide backup arrangements when the usual person is absent. Keep access appropriate to sensitive documents.

The successful system gives each piece of evidence a dependable identity and explains every link. That makes reviews, payment allocation and handovers faster while preserving the distinction between documents, entries and cash movements.
