An internal transfer between branches of the same business moves resources within the entity. Record the sending and receiving effects through stock, bank or branch-current accounts as appropriate, and reconcile both sides. Separately assess GST: a transfer can have tax consequences even when it does not create external revenue for the entity’s financial reporting.

Identify the accounting and tax boundaries

First establish whether the locations belong to one legal entity or separate entities. A transfer between two companies under common ownership is not automatically an internal branch movement in either company’s standalone books.

Then identify whether the branches maintain one integrated ledger or separate ledgers. Integrated records may transfer inventory locations without creating reciprocal branch-current accounts. Separate branch books need a clear method to connect their balances.

For GST, registration boundaries also matter. Schedule I of the CGST Act addresses supplies between related or distinct persons in the course or furtherance of business, including specified transactions without consideration. Do not assume that a common legal owner makes every branch transfer irrelevant to GST.

Illustrative transfer in separate branch books

A Bhubaneswar business sends goods with supported cost of ₹15,000 from Branch A to Branch B. Assume this example isolates the internal cost movement; tax is considered separately below.

EventAccountDebit ₹Credit ₹
Branch A dispatchBranch B current account15,000—
Branch A dispatchInventory—15,000
Branch B receiptInventory15,000—
Branch B receiptBranch A current account—15,000

Branch A has a reciprocal debit and Branch B a matching credit. At entity level, those internal balances are reconciled and eliminated in the combined position. Inventory has changed location, not been sold to an outside customer.

The table assumes both branches record receipt consistently. If goods remain in transit at closing, a supported transit record is needed rather than pretending both dispatch and receipt occurred together.

Integrated stock records can be simpler

Where one ledger maintains stock by location, the financial inventory total may remain unchanged while the item-location records move the quantity from A to B. The system’s transfer document should provide the trail.

Do not add reciprocal journals on top of an automatic integrated transfer without checking the system’s posting. That can duplicate stock or create branch balances that have no actual counterpart.

Reconcile quantity, unit cost and location. A correct ₹15,000 total can still conceal the wrong item code or an incorrect number of units at the receiving branch.

Freight and handling need their own assessment

Initial transfer costs can affect inventory cost depending on why the goods move and the applicable accounting policy. ICAI AS 2 addresses costs of bringing inventories to their present location and condition.

For an illustrative ₹800 transport charge, identify who paid, whether it is attributable to inventory and whether any tax is recoverable. Do not automatically include every relocation or abnormal handling cost in stock.

The branch-current reconciliation should explain whether the transport cost was billed centrally, paid by one branch or charged onward internally. A shared invoice should not be expensed separately in both branches.

GST documentation can differ from book revenue

Transfers between distinct GST registrations may require a tax invoice and valuation assessment even where no outside customer pays consideration. Transfers within one registration can have different document requirements depending on the movement.

Review the actual GSTINs, supply facts, valuation rules and applicable movement documents before dispatch. The simple ₹15,000 cost entry does not establish taxable value or the final tax amount.

Keep the tax entries and internal accounting linked. A tax invoice generated for an internal transfer should not inadvertently inflate external entity sales in management reports or leave an unexplained receivable after branch elimination.

Cash transfers use the same reciprocal discipline

If Branch A pays an expense on behalf of Branch B, identify the business cost in the appropriate branch and the reciprocal current-account movement. Do not record the expense twice simply because one branch incurred it and another paid.

For transfers between bank accounts in an integrated ledger, debit the receiving bank and credit the sending bank, using clearing where supported timing differences exist. Separate branch books may also need reciprocal entries to explain funding.

Always identify the legal account holder. A transfer to a branch manager’s personal account may be an advance requiring settlement rather than a completed branch-bank transfer.

Reconcile mismatched dates and amounts

Create a schedule of dispatches, receipts, internal invoices, expenses paid on behalf and cash transfers. Match the two branch records by reference, not only by total amount.

A ₹15,000 debit in Branch A and ₹14,500 credit in Branch B needs investigation. The difference could be a shortage, wrong price, omitted charge or simple posting error. Do not clear it automatically to branch profit.

Review goods in transit and transfers received after period end. Preserve the original dispatch date so unresolved movements do not appear new each month.

Close the combined position

Before reporting the entity’s totals, reconcile and remove internal reciprocal balances and any internal effects requiring elimination under the reporting approach. Confirm that stock remains recognised once and external revenue reflects actual outside transactions.

Document shortages on arrival

If Branch B receives fewer units than Branch A dispatched, investigate transit loss, packing error and receiving differences. Do not alter the receiving quantity solely to make the current accounts agree.

Record the supported transit status, claim or loss separately. The reciprocal balance should then reflect the accepted facts, while the stock register preserves what actually arrived.

A reliable branch-transfer process keeps operational location, financial ownership and GST registration facts visible together. That makes internal funding and stock movements understandable without overstating the business’s external activity.
