Organise GSTR-1 around a complete, classified outward-supply register for the correct GSTIN and tax period. Start with source invoices and related documents, identify the appropriate reporting categories and reconcile the final portal summary with the records. Uploading a file is only one stage of preparation.

GSTR-1 is the statement of outward supplies for applicable normal and casual taxpayers. Its information affects the supplier’s liability reporting and the recipient’s inward-supply data. Errors in GSTIN, invoice identity or classification can therefore create problems even when the overall sales total appears correct.

Establish a controlled source register

Consider an illustrative Kochi office-furniture supplier with retail sales, registered-business customers and one export order. Its monthly accounts show ₹18,40,000 sales, but the tax team needs more than that ledger total to prepare GSTR-1.

Create a register containing supplier GSTIN, document number and date, recipient status and GSTIN where relevant, place of supply, document type, taxable value, rate-wise tax and other required attributes. Keep original values and separate derived reporting fields so the transformation can be reviewed.

Collect invoices from every branch or billing series under that GSTIN. Include credit and debit notes, cancellations and relevant adjustments. A finance export may omit documents generated through a separate retail counter or manually approved during a system interruption.

Classify before summarising

Separate registered-recipient supplies, unregistered-recipient supplies, exports, SEZ supplies and other relevant categories under the actual form and transaction rules. The classification follows the transaction facts, not simply the customer’s name or payment mode.

A company buying furniture without providing the appropriate GSTIN should not automatically be treated as a correctly documented B2B invoice. Resolve the recipient’s registration details and invoice requirements. Similarly, an overseas address does not by itself establish that every condition for an export is met.

Data checkWhy it matters
Recipient GSTIN and registration statusCorrect recipient and reporting category
Invoice number and financial yearReliable identity and duplicate prevention
Place of supplyRelevant State and tax-head treatment
Rate-wise taxable value and taxAccurate line totals and summaries
Document type and statusProper handling of notes, amendments and cancellations

Document uncertain classifications in an exceptions list with an owner and deadline. Do not bury them in a miscellaneous category merely to complete the upload.

Reconcile original records and auto-populated data

Where e-invoice details populate the draft, compare them with the final sales register. Auto-population is a source of data, not proof that every transaction is complete or correctly treated. Identify missing records, duplicates, cancellations and any edits requiring review.

Suppose the Kochi register contains 120 active invoices, while the draft contains 118. Investigate the two missing documents individually. If one is a cancelled draft and the other a genuine ₹75,000 taxable sale, their reasons and required actions differ. A record-count difference cannot be resolved safely by adding a balancing amount.

Preserve the downloaded draft and the reconciliation version. If records change after a summary is generated, generate and review the updated summary before filing. An earlier preview may no longer represent the data being authorised.

Handle notes and advances separately

Credit and debit notes need their own document identity, reason and reporting treatment. Link them internally to the original transaction even where the portal’s current fields do not require one-to-one invoice linkage. A note already reflected through an amendment should not be counted again without analysis.

For advances, determine whether GST liability arises under the relevant time-of-supply rules and any applicable relief. Goods and services do not always follow the same advance treatment. Where an advance was taxed earlier, track its later invoice adjustment so liability is not duplicated.

The register should distinguish commercial accounting adjustments from documents that validly alter GST liability. A customer concession or accounting credit does not automatically satisfy all conditions for a tax reduction.

Build summaries from reviewed detail

Prepare the applicable HSN or SAC summary, document summary and other required aggregates. GSTN’s May 2025 changes introduced separate B2B and B2C tabs in Table 12 and mandatory document-summary controls in specified non-nil circumstances. Use current period-specific portal instructions rather than an old spreadsheet layout.

Compare taxable values and tax by category and tax head. A correct grand total can conceal a B2B invoice placed in B2C or an interstate supply reported under the wrong tax heads. Review zero-rated, nil-rated, exempt and non-GST classifications separately where relevant.

For the Kochi supplier, a reconciliation might explain why accounting sales differ from the return’s combined values because of timing, notes or other identified adjustments. Each bridge line should point to transactions and treatment, not a convenient round difference.

Reconcile invoice populations across billing channels before investigating tax differences. If the showroom uses one series and field staff use another, list both and obtain completeness confirmation from the responsible team. A perfectly formatted export from the main system may still omit the field invoices. Record the source coverage and exceptions so the reviewer understands what the preparation file includes, rather than assuming that one system contains every outward document.

Authorise the final version

The reviewer should see the final summary, major reconciliations, unresolved items and correction decisions. Confirm the GSTIN, period and filing status before authorisation. Retain acknowledgement and the filed data with the working papers.

After GSTR-1 is filed, the live GSTR-1A facility can address eligible same-period omissions or errors before that period’s GSTR-3B, subject to its conditions. It does not remove the value of pre-filing review or create an unlimited revision window.

GSTR-1 preparation works best when data flows from complete source records through classification and reconciliation into one approved draft. That approach protects both the supplier’s reporting and the recipient’s ability to understand the invoice appearing in its GST records.
