A business loan receipt normally increases bank and creates a borrowing liability. Debit Bank and credit the appropriate loan account for the supported amount borrowed. The receipt is financing, so it should not be posted to sales merely because cash has entered the business bank account.
Identify the borrower and lender
Read the loan agreement, sanction terms and disbursement advice. Establish which legal person borrowed, who is entitled to repayment and what principal was actually advanced. An approved facility limit is not the same as money drawn under that facility.
A proprietor may borrow personally and introduce the money into the business under a separate arrangement. A company may receive a director loan rather than a bank loan. The books should identify the business’s actual obligation, not simply copy the name appearing in the incoming bank narration.
Create a separate ledger or subledger for each loan where balances, interest terms or repayments differ. Combining unrelated facilities makes it harder to reconcile lender statements and explain the amount due.
A simple illustrative disbursement
A Patna manufacturer draws ₹5,00,000 under an approved term loan. Assume the entire principal reaches the business bank and no fee is deducted at disbursement.
| Account | Debit ₹ | Credit ₹ |
|---|---|---|
| Business bank | 5,00,000 | — |
| Term loan payable | — | 5,00,000 |
| Total | 5,00,000 | 5,00,000 |
The entry does not recognise revenue or profit. The business has an additional asset and an equal repayment obligation. Buying machinery with those funds is a later transaction with its own asset and supplier records.
If ₹2,00,000 of the sanctioned limit remains undrawn, do not add it to bank or the loan balance merely to match the sanction letter. Track the available facility operationally while recording actual transactions under the applicable accounting framework.
Fees deducted before the bank credit
Suppose a separate illustrative loan has principal advanced of ₹3,00,000, with ₹6,000 withheld as a supported processing charge, leaving ₹2,94,000 in bank. The journal must explain the difference between gross borrowing and net cash.
At a simple transaction-capture level, debit Bank ₹2,94,000, debit the appropriate fee or transaction-cost account ₹6,000 and credit the borrowing ₹3,00,000. The eventual measurement and presentation of that fee require assessment under the applicable accounting framework and contract. Do not assume every loan fee is an immediate expense.
Obtain the fee invoice or advice and determine whether any tax is separately identifiable and recoverable. Avoid treating the withheld amount as unexplained round-off or reducing the principal without reference to the lender’s statement.
Direct payment to an equipment supplier
A lender may pay the machine supplier directly instead of depositing money into the borrower’s operating bank. If the supplier invoice has already created a payable, record Supplier payable debit and Loan payable credit for the supported payment.
For an illustrative ₹4,00,000 direct disbursement, the supplier liability falls by ₹4,00,000 and borrowing rises by the same amount. No business bank debit is appropriate when that account never received the funds.
If the asset purchase has not yet been recorded, recognise the asset, tax and supplier obligation using the acquisition documents, then record the lender’s settlement. This preserves the purchase trail and avoids using the loan entry as an unsupported substitute for the machine invoice.
Distinguish principal from interest
Interest is the cost of borrowing over time, not part of the original loan receipt merely because future interest appears in a repayment schedule. Do not credit a liability for the total of every future instalment and call that amount principal without assessing the contractual and accounting treatment.
Maintain the opening principal, further drawdowns, principal repayments and closing balance separately from interest and fees. The lender’s statement should explain how each repayment was allocated.
Where interest or borrowing costs relate to a qualifying asset, the applicable standard may affect their treatment. This article’s basic receipt entry does not resolve borrowing-cost capitalisation, effective-interest measurement or other framework-specific questions.
Cash flow and management reporting
A bank inflow report can contain customer receipts, loans, owner contributions, supplier refunds and interbank transfers. Only some of these reflect revenue. Classifying the ₹5,00,000 borrowing as sales would distort turnover, margin and the apparent ability of operations to generate money.
Review large incoming transfers against their supporting documents before closing the month. Reclassification after the fact should preserve the original bank receipt and move only the incorrect counterpart account where that is the actual error.
Use a borrowing schedule alongside the ledger. It can record security, repayment frequency, maturity and responsible contact without forcing those details into every voucher narration.
Reconcile the first statement early
Compare the first lender statement with the recorded principal, fees and cash received. Investigate insurance charges, escrow movements and other withheld amounts individually. A single net bank credit can represent several distinct transactions.
Confirm that repayments will clear the same borrowing ledger used for receipt. Otherwise, principal may sit unchanged while instalments are wrongly expensed elsewhere.
Check noncash amounts withheld at disbursement
Insurance premiums or deposits withheld from a loan can create different rights from a processing fee. Obtain the policy, receipt or deposit terms and identify who owns the resulting benefit. A single debit to bank charges may be convenient but can conceal an asset or another supported cost.
Where the lender’s statement includes an amount that the business does not recognise, investigate it promptly. The ledger should not be forced to match through a miscellaneous expense merely because the amount is small relative to the loan.
A sound loan-receipt entry gives a clear explanation for new cash and the obligation attached to it. That clarity keeps borrowing separate from trading performance and provides a reliable starting balance for every later instalment.
