At quarter-end, check that the three monthly closes are supported, opening and closing balances connect, recurring entries remain valid and old exceptions have not accumulated. Then review trends and selected transactions across the quarter. The purpose is deeper verification of the bookkeeping process, not simply adding three months of sales.
A quarterly management review is an internal routine. Tax and statutory reporting periods depend on the business’s actual obligations; do not assume every entity follows the same quarterly filing schedule. Use this review to identify matters requiring professional attention before the year-end workload grows.
Check the status of each monthly close
List the reports issued for all three months and identify later revisions. Confirm that the final month uses the correct opening balances and incorporates approved corrections. A change made only in a presentation workbook may never reach the ledger.
Review incomplete reconciliations, missing statements and provisional journals from each month. An unresolved item can become less visible as new transactions arrive. Quarter-end is the time to test whether its original explanation still holds.
ICAI’s rectification material shows that some errors do not disturb trial-balance agreement. Therefore, checking that the books balance each month is necessary but insufficient evidence of completeness or correct classification.
Review aged balances, not only current activity
Obtain customer and supplier ageing, employee advances, deposits, prepayments and suspense balances. Compare the quarter’s opening and closing positions and trace material movements to documents.
An illustrative Rajkot engineering business starts the quarter with ₹1.8 lakh employee and supplier advances and ends with ₹2.1 lakh. The net ₹30,000 increase looks small. Detailed review shows ₹1 lakh old advances still unresolved while new advances and settlements offset one another.
Identify the owner, purpose, expected settlement and evidence for each old item. Net movement alone cannot establish that old balances have been cleared. Keep resolved and unresolved items separate in the review log.
Reassess bank and cash reconciling items
Inspect items carried through more than one monthly reconciliation. Confirm the reason, expected clearing date and subsequent evidence. A transfer described as in transit for three months may represent an omission, reversal or wrong-account posting.
Review cash custody and staff advances across locations. Check physical counts and voucher settlement patterns. If month-end counts are always performed by the same person who maintains the record, consider an independent owner or supervisor check where practical.
Reconcile settlement-provider balances as well as bank accounts. Amounts withheld, refunds and fees can create old differences that a bank-only review misses.
Validate recurring entries and schedules
Inspect rent, insurance, subscriptions, payroll, depreciation, interest and other recurring postings. Check start dates, end dates, rate changes and contract renewals. A repeated journal is efficient only when the underlying obligation still exists.
Suppose an annual subscription costing ₹24,000 ends on 30 June, but the business continues posting ₹2,000 monthly expense through September. The quarter contains ₹6,000 unsupported recurring expense unless a new arrangement exists. Review the contract before correcting the entries and associated balances.
Also check entries that should have begun but did not. A new asset, employee or loan can be missing from a recurring schedule even when older entries continue correctly.
Test inventory, assets and unusual purchases
Compare stock ageing and movement with sales and production. Review damaged goods, slow items, count adjustments and costs assigned to inventory. AS 2’s lower-of-cost-and-net-realisable-value requirement applies within its scope; an unchanged carrying amount needs support when selling conditions weaken.
Inspect asset additions and disposals, including equipment bought through owner payments or supplier credit. A bank search alone may miss these. Confirm that depreciation schedules reflect relevant changes and that disposed assets no longer continue unchanged.
Sample unusual or large purchases to test classification. A computer entered as office expense may leave the trial balance balanced while misclassifying assets and profit. The appropriate correction depends on the transaction and applicable framework.
Compare three-month patterns
Build a monthly table of revenue, gross profit, key expenses, receivables, inventory and borrowing. Explain spikes, reversals and unexpected flat lines. Identical expense amounts can be valid, but can also indicate a stale recurring entry.
For the engineering business, sales rise from ₹20 lakh to ₹25 lakh to ₹30 lakh while gross margin falls from 32% to 29% to 25%. Review product mix, purchase costs, discounting and stock adjustments before calling the quarter successful on growth alone.
Use percentage points for margin changes and rupees for financial impact. Add same-season comparisons where seasonality matters. A three-month pattern is a prompt to investigate, not proof of its cause.
Review process quality and access
| Review area | Quarter-end question |
|---|---|
| Document capture | Which sources repeatedly arrive late? |
| Queries | Which issues stay open beyond their target date? |
| Corrections | What errors recur after review? |
| Ownership | Who can cover absent staff? |
| Access and recovery | Can essential records be retrieved and restored? |
Test retrieval of a small sample from report to ledger to source document. Review user access after staff changes and verify that essential records remain accessible under the business’s controls.
Finish with a short improvement plan
Prioritise material financial adjustments and process fixes separately. Assign owners and dates, identify any external advice needed and record which report versions will change.
The quarter-end review should leave fewer old balances and a clearer explanation of the business’s results. Its lasting value comes from correcting the causes of repeated omissions, stale schedules and unresolved questions before they become a much larger year-end reconstruction.
