Build a profit and loss statement from ledger balances by selecting the correct period, identifying earned income and incurred expenses, completing closing adjustments and arranging the balances into meaningful subtotals. Then reconcile the result to the adjusted trial balance. The job is not finished when the software displays a profit: the classification, timing and completeness of the underlying entries must also make sense.

A monthly management statement and annual statutory financial statements serve different purposes. The management statement can contain product margins or contribution subtotals, while the statutory statement must follow the applicable presentation and accounting framework. Keep a clear reconciliation between the two when their layouts differ.

Define the reporting perimeter

Confirm the entity, branches, reporting dates and currency unit. Include all business bank accounts and expense locations within that perimeter. A branch omitted from the ledger export can produce an attractive but incomplete profit figure.

Export the trial balance and detailed income and expense ledgers. Retain ledger codes so that each reported figure can be traced. If the export includes opening balances, distinguish them from current-period movements; carrying an earlier year’s profit into current revenue would duplicate earnings.

Create a list of ledger accounts that require investigation rather than immediate mapping. Suspense accounts, unexplained credit balances in expenses and large manual journals are useful starting points. Resolve them before treating the result as final.

Map revenue according to its nature

Separate core revenue from other income. Net operating revenue should reflect relevant sales returns and discounts consistently. Loans, capital introductions, refundable deposits and transfers between bank accounts do not become revenue simply because they appear as credits in the cash book.

Inspect credit notes raised after period-end for evidence about sales recorded before the close. Review goods dispatch, customer acceptance and service-completion records where they determine recognition. Under the AS framework, ICAI AS 9 addresses revenue recognition; Ind AS entities apply their own applicable requirements. Billing and collection dates alone are not a universal recognition rule.

Keep tax components separate where the business collects amounts on behalf of authorities. If accounts contain mixed inclusive and exclusive amounts, reconcile the underlying tax ledgers before comparing margins. Otherwise, an apparent increase in sales may be a classification error.

Calculate the trading or production cost

For a straightforward trader, opening inventory + net purchases + relevant inward costs − closing inventory gives a useful cost-of-goods-sold working. Check whether the ledger system already posts this cost automatically. Do not add a second stock adjustment to a perpetual inventory result without understanding its entries.

Consider an illustrative Nagpur electrical wholesaler. It has opening stock of ₹12 lakh, net purchases of ₹42 lakh, eligible inward freight included in inventory cost of ₹1 lakh and closing stock of ₹15 lakh. Cost of goods sold is ₹12 + ₹42 + ₹1 − ₹15 = ₹40 lakh. With net revenue of ₹56 lakh, gross profit is ₹16 lakh.

Manufacturers need additional workings for materials, work in progress, finished goods and production conversion costs. Service firms need a relevant project-cost analysis rather than an artificial goods-trading format. ICAI AS 2 provides inventory principles within its scope, including valuation at the lower of cost and net realisable value.

Complete period-end expense adjustments

Review expenses for amounts incurred but not yet invoiced or paid. Electricity consumed in March belongs in the appropriate March result even if the bill arrives later. Conversely, an annual insurance payment may include cover for future months and require a prepayment adjustment.

Post depreciation from a reviewed asset schedule and assess receivable or other asset adjustments under the applicable framework. Review payroll, professional fees, rent, interest and employee reimbursements for missing entries. Keep supporting calculations with each closing journal.

For the wholesaler, assume operating expenses of ₹10 lakh, including ₹1.2 lakh depreciation, and finance costs of ₹1 lakh. An additional March delivery bill of ₹0.4 lakh was omitted and must be accrued. The corrected result is:

Profit stageAmount
Revenue₹56.0 lakh
Cost of goods sold₹40.0 lakh
Gross profit₹16.0 lakh
Operating expenses including the accrual₹10.4 lakh
Operating profit₹5.6 lakh
Finance costs₹1.0 lakh
Profit before tax₹4.6 lakh

Tax is not calculated here. Its accounting depends on the entity and relevant requirements; an arbitrary percentage should not be used to make a report appear complete.

Separate profit from funding movements

Loan principal repayments belong to the liability reconciliation, while interest is generally a finance cost in profit. Buying qualifying equipment creates an asset, with depreciation affecting later results as appropriate. Owner drawings in a proprietorship reduce capital rather than ordinary operating profit.

These distinctions prevent the most damaging ledger-mapping errors. A payment-based expense report can understate profit after a machine purchase and overstate it when large unpaid bills are left out. The accrual basis described in ICAI AS 1 helps explain why ledger review must go beyond bank movements.

Review and release the report

Ensure every income and expense ledger has one documented destination and that totals agree to the adjusted trial balance. Compare gross margin, major expense ratios and absolute movements with the prior period. Investigate changes before writing commentary; a purchase reclassification can resemble a commercial deterioration.

Label drafts, list outstanding adjustments and obtain the appropriate review before describing a report as final. Retain the mapping and supporting schedules with that version. A useful profit and loss statement should let its reader move from the final profit back to sales, stock calculations and each material cost without guesswork.
